8ALPHA.AI QuickBooks Integration Privacy Policy

This 8ALPHA.AI QuickBooks Integration Privacy Policy (“Privacy Policy”) explains how 8ALPHA.AI AI, LLC, a California limited liability company (“8ALPHA.AI,” “we,” “us,” or “our”), collects, uses, stores, and protects information in connection with the 8ALPHA.AI QuickBooks Integration (the “Integration”).

The Integration allows 8ALPHA.AI’s business customers to connect their QuickBooks account to 8ALPHA.AI’s services so that 8ALPHA.AI can retrieve financial and accounting data, automate data ingestion, reduce manual data entry, and provide financial analysis and business insights.

By connecting a QuickBooks account to the Integration, you authorize 8ALPHA.AI to collect and process information from QuickBooks as described in this Privacy Policy.

1. Scope of This Privacy Policy

This Privacy Policy applies to information collected and processed through the 8ALPHA.AI QuickBooks Integration.

This Privacy Policy does not apply to QuickBooks or Intuit services. QuickBooks and Intuit are third-party services, and their own privacy policies and terms apply to your use of their products.

2. Information We Collect

When you connect your QuickBooks account to the Integration, we may collect and process the following categories of information.

A. QuickBooks Authorization Data

We collect information necessary to maintain the connection between QuickBooks and 8ALPHA.AI, including:

  • OAuth access tokens
  • OAuth refresh tokens
  • Realm ID or company identifiers
  • Connection status
  • Authorization timestamps
  • Token expiration metadata
  • Sync metadata
  • Error logs and diagnostic information related to the connection

B. QuickBooks Company and Financial Data

Depending on your QuickBooks settings, permissions, and the services enabled by the Customer, we may access and process data available through QuickBooks APIs, including but not limited to:

  • Company information and business profile data
  • Chart of accounts
  • Customers and customer records
  • Vendors and vendor records
  • Employees, where available and authorized
  • Items, products, and services
  • Invoices
  • Bills
  • Payments
  • Sales receipts
  • Purchase orders
  • Credit memos
  • Refund receipts
  • Deposits
  • Transfers
  • Expenses
  • Bank transactions
  • Bank accounts and balances
  • Journal entries
  • General ledger data
  • Tax codes and tax-related records
  • Classes, departments, locations, and tracking categories
  • Attachments or document metadata, where available and authorized
  • Financial reports, including profit and loss, balance sheet, cash flow, accounts receivable, and accounts payable reports
  • Transaction metadata, timestamps, identifiers, and related records
  • Other accounting, financial, or operational data made available through QuickBooks APIs and authorized by the Customer

The Integration is read-only. We do not write, modify, create, or delete data in your QuickBooks account through the Integration.

C. Usage and Technical Information

We may collect technical and operational information related to the Integration, including:

  • Sync activity
  • API request and response metadata
  • Error messages
  • Performance logs
  • Audit logs
  • User actions related to connecting, disconnecting, or managing the Integration
  • Security and access logs

3. How We Use Information

We use information collected through the Integration to:

  • Connect your QuickBooks account to 8ALPHA.AI’s services.
  • Retrieve authorized data from QuickBooks.
  • Automate financial data ingestion.
  • Reduce manual data entry.
  • Generate financial reports, summaries, dashboards, and insights.
  • Analyze financial performance, trends, metrics, and operational indicators.
  • Support Customer-requested workflows.
  • Maintain, monitor, troubleshoot, and improve the Integration.
  • Detect, prevent, and respond to security incidents, fraud, misuse, or technical issues.
  • Comply with legal, contractual, and regulatory obligations.
  • Provide customer support.

4. Use of Artificial Intelligence

8ALPHA.AI may use artificial intelligence and machine learning technologies to analyze financial data retrieved from QuickBooks and generate insights, summaries, classifications, forecasts, recommendations, or other analytical outputs.

To provide these capabilities, 8ALPHA.AI may process relevant Customer data using artificial intelligence service providers, including OpenAI and Anthropic.

We use these providers to support Customer-requested analysis and insights. We do not sell Customer financial data. We do not use Customer financial data for advertising.

AI-generated outputs may not always be accurate or complete. Customers should review and validate outputs before relying on them for accounting, tax, legal, investment, lending, compliance, or business decisions.

5. Data Storage

8ALPHA.AI stores information collected through the Integration using cloud infrastructure hosted on Amazon Web Services (AWS), including storage in Amazon RDS.

Stored information may include:

  • OAuth access tokens
  • OAuth refresh tokens
  • Connection metadata
  • Sync metadata
  • Logs and diagnostic information
  • Financial and accounting data retrieved or processed from QuickBooks
  • Analytical outputs, reports, or insights generated from QuickBooks data

We retain this information for as long as necessary to provide the Integration and related services during the term of the Customer’s agreement with 8ALPHA.AI, unless a longer retention period is required or permitted by law, contract, dispute resolution, security, backup, or compliance obligations.

6. Data Sharing

We do not sell Customer data or QuickBooks financial data.

We do not share Customer data with third parties for advertising or marketing purposes.

We may share or process information with limited service providers only as necessary to provide, secure, operate, and improve the Integration and related 8ALPHA.AI services. These providers may include:

  • Cloud hosting and infrastructure providers, including AWS
  • Database and storage providers
  • Security and monitoring providers
  • Artificial intelligence service providers, including OpenAI and Anthropic
  • Other vendors that support the operation, maintenance, or security of the Integration

We may also disclose information if required to do so by law, legal process, court order, regulatory request, or to protect the rights, safety, security, or property of 8ALPHA.AI, our customers, or others.

7. Data Security

8ALPHA.AI uses commercially reasonable administrative, technical, and organizational safeguards designed to protect information collected through the Integration.

These safeguards may include access controls, authentication, encryption in transit where appropriate, infrastructure security controls, monitoring, logging, and restricted access to production systems.

However, no method of transmission, processing, or storage is completely secure. We cannot guarantee absolute security.

8. Customer Control and Disconnection

Customers may disconnect the Integration at any time through QuickBooks, Intuit, or 8ALPHA.AI’s available account or support processes.

Disconnecting the Integration prevents future access to QuickBooks data through the disconnected connection. However, data previously retrieved or processed by 8ALPHA.AI may continue to be retained for the duration of the Customer’s agreement with 8ALPHA.AI, or as otherwise required or permitted by law, contract, backup, security, compliance, or legitimate business purposes.

9. Data Retention

We retain QuickBooks data and related Integration data while the Customer’s contract with 8ALPHA.AI remains active.

After the Customer’s contract ends, 8ALPHA.AI may delete, return, anonymize, or retain data in accordance with the applicable customer agreement, legal obligations, backup policies, security requirements, dispute resolution needs, or other legitimate business purposes.

Customers may contact 8ALPHA.AI to request information about deletion or retention of their data.

10. Customer Responsibilities

Customers are responsible for:

  • Ensuring they have authority to connect their QuickBooks account.
  • Managing permissions and access within QuickBooks and 8ALPHA.AI.
  • Ensuring the accuracy and completeness of their QuickBooks data.
  • Reviewing AI-generated or automated outputs before relying on them.
  • Complying with applicable laws and internal policies when using the Integration.

11. International Data Processing

8ALPHA.AI is based in the United States, and information collected through the Integration may be processed and stored in the United States or other jurisdictions where our service providers operate.

By using the Integration, you understand that your information may be transferred to and processed in jurisdictions that may have data protection laws different from those in your location.

12. Children’s Privacy

The Integration is intended for business use and is not directed to children. We do not knowingly collect personal information from children through the Integration.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and may provide notice through our website, product, or other reasonable means.

Continued use of the Integration after changes become effective means the updated Privacy Policy applies to your use of the Integration.
